MACS Quotations Module
The MACS Quotations module is a powerful sales and tracking tool. Used
with the MACS Basic System, it provides a sales agency with the ability to
enter, maintain, print and monitor agency quotations. When used with the Order
Tracking, Warehouse Processing, or Billing/Accounts
Receivable modules, the Quotations module significantly enhances the
power of the entire MACS system. It provides:
- Fast creation of a detailed quote complete with prices, special
manufacturer data and boilerplate comments in a format ready to
present to a customer or prospect.
- Easy modification of existing quotes for a minor correction or a
major revision.
- Maintenance and duplication of standard quotes to speed up the
quotation process.
- Use of standard MACS features such as look-up windows and automatic
pricing make quotation entry fast.
- Transfer of accepted quotations into other parts of the MACS system
without re-entry of data.
- Quick on screen access to quote information. Quotes can be displayed
by customer or manufacturer based on varied dates and/or codes
associated with each quote.
- Entry of Quotes in summary form, without individual line items, for
use in tracking open quotes only.
Features
- Up to 999 line items per quote.
- Up to 90 lines of header messages per quote.
- Up to 90 lines of trailer messages per quote.
- Up to 90 lines of messages per line item.
- Optional automatic pricing based on discounts, multipliers, column
prices, quantity or dollar price breaks or customer contracts.
- Quotes can be numbered either by the operator or automatically by
the system.
- A probability percentage can be assigned to each quote or
quote line item for use in forecasting future sales.
- The total extended amount, commission and weight are accumulated and
displayed during quote entry.
- The total cost, gross profit dollars and percent are accumulated and
displayed if used with the Billing/Accounts
Receivable module.
- Anticipated agency commissions are automatically calculated or can
be overridden by the operator for each quote or line item on the
quote. Anticipated agency commissions can be split among multiple
salespeople.
- Line items are numbered based on a preset interval.
- When updating an existing quote, line items can be inserted between
existing items.
- Up to six dates can be entered for each quote for use in selecting
or sequencing reports or screen displays.
- Special entry fields-required or optional-can be defined for use on
a manufacturer's quotes.
- Identical or similar quotes to multiple prospects are easily
prepared.
Reporting and Inquiry Capabilities
- Several report formats are pre-defined for printing information
about quotes in summary form (totals only, no line item information)
or by line items on the quotes.
- Use of the powerful MACS report generator provides flexibility in
generating special reports by selecting only certain records and
printing them in any desired sequence.
- Pre-defined report formats provide for forecasting future
business based on date entered for each quote and a probability
percentage assigned to each quote. The date and percent may also
be assigned to line items.
- Quotes may be displayed on the screen for instant information
look-up. Quotes may be selected by manufacturer, customer, project or
any of six dates.
Use with other MACS modules
- Basic System: Information in the
Agency Information Base is automatically displayed on the screen
during quote entry. Any data can be overridden by the operator.
- Order Tracking: Quotes entered
in the Quotations module can be transferred to the Order Tracking
module without re-entry.
- Warehouse Processing: As with
Order Tracking, quotes can be transferred to the Warehouse Processing
module if the material is to be shipped out of the agency warehouse.
Professional-Looking Quotations Prepared Quickly and Easily
- Using data from other MACS files eliminates the need for re-entry of
repetitive information.
- Using Added Fields and Messages means a quotation can
be tailored to the individual needs of each customer or manufacturer.
- Numerous options provide for printing quotes with different looks.
These fields can be included or excluded on the printed quote: Added
Fields, Messages, Unit Prices and Extended Amounts.
- The quote total is automatically calculated and can optionally be
printed or excluded.
- Shown below is a sample quote with explanations for each of the
parts of a typical quote.

Header Information
Allows entry of data common to most quotations. Agency Information
Base customer information is displayed without re-entry.
Header Added Fields (Optional information, need not be entered)
Provides for prompting the entry person for special data fields unique to
a manufacturer or required by the customer.
Header Messages (Optional information, need not be entered)
Special messages can be entered that will print before the body of the
quote. These messages can be typed at the time of quote entry or standard
messages can be used.
Line Items
Line item information can be entered at the time of entry or, if the
item is in the MACS Item File, the data on file is displayed.
Line Item Added Fields (Optional information, need not be
entered)
Special data required for each item is entered here.
Line Item Messages (Optional information, need not be entered)
Additional comments can be added during quote entry or retrieved from a
file for each quote item.
Quote Totals (Optional information, need not be entered)
MACS automatically totals the dollar value and weight of the quote, which
are available for printing on the quotes.
Trailer Messages (Optional information, need not be entered)
Messages can be placed at the end of a quote. This is an ideal place for
putting an acceptance line for signature.
